MyCase info for staff
With the implementation of MyCase for the MSc thesis procedure, comes a new way of working for involved staff. Students will submit their information, contracts, deliverables and planning via MyCase. This means that this information also needs to be checked by staff in MyCase at certain points. You are either part of the supervision team, the assessment committee or supporting staff. Below you can find an overview of the different roles in MyCase and a short summary of the tasks that they need to perform during the different phases of the thesis project. More specific information on how to perform these tasks during the different phases in MyCase can be found in the instruction manual for staff

At the start of the thesis (prep) the student is asked to submit their supervision team. The supervision team consists of a responsible supervisor and additional supervisors.
The Responsible Supervisor
If you are selected as the responsible supervisor you have a key role during most phases of the master thesis. You are the one who reviews and approves the supervision team, submitted documents, contracts, planning and other deliverables by the students. You have to review and approve the Kick-Off and Mid-Term meetings and upon your approval the systems shifts to the next-phase which is the Green-Light phase for example. Make sure that when the Kick-Off or Mid-Term is approved you immediately register this in MyCase so that there is no delay.
Supervisor
If you are a supervisor other than the responsible supervisor, you can view all information submitted by the student but cannot give approval to shift to the next phase. This is done by the responsible supervisor as described above. Company supervisors are not yet able to access MyCase because this requires a Net-ID.

From the start of the thesis project (preferably well before the Green-Light Meeting), the student is asked to submit their assessment committee. A lot of times this is similar to the supervision team but it can differ and needs to be registered and checked separately. The assessment committee consists of the chair and additional examiners according to the Rules and Guidelines of the Board of Examiners. The mandate of the Board of Examiners checks the Assessment Committee to see if it meets the Rules and Guidelines. More information regarding the BoE mandate can be found under Supporting Staff.
The Chair
If you are selected as the chair of the assessment committee you have a key role during the final phases of the thesis. You review and approve the decision of the assessment committee in MyCase after the Green-Light Meeting, you review and approve in MyCase after the Final Presentation, you declare any suspicion of fraud and you register the final grade as discussed with the assessment committee. You can also add members or change the assessment committee. The assessment committee however must always be checked by the mandate of the Board of Examiners. Changes done by the chair are always sent to the BoE mandate in MyCase.
Examiners
The examiners also have access to MyCase and to the deliverables as submitted. They discuss these with the chair and as an assessment committee you come to a final conclusion or grade. However, it is the chair who registers this conclusion of the assessment committee in the system.

There is also supporting staff involved in the thesis procedure. They have concise but important roles to play during the thesis.
Study Programme Administration (SPA)
During the preparation phase, SPA checks whether the student meets the entry requirements to start the MSc thesis (prep). They also check if the student has completed all other courses before they can schedule their Green-Light Meeting. Furthermore SPA is responsible for the diploma procedure once the date of the final presentation is known and they register the final grade in Osiris.
The mandate of the Board of Examiners (BoE mandate)
Once the student has submitted their assessment committee, this needs to be reviewed and approved by the BoE mandate who is part of the department of Education- and Student Affairs of CEG. The BoE mandate checks whether the submitted assessment committee meets the requirements for the respective MSC programme as described in article 23 of the Rules and Guidelines of the Board of Examiners.
